Expenx User Guidelines
Welcome to the tropical tech way of managing your finances. follow this guide to set up your multi-profile workspace and stay tax compliant.
1. Getting Started

Set Up Your Profile
Navigate to Settings to enter your Business Name, TIN, and Address. This information will appear on all your generated PDF documents.

Select Your City
Go to Compliance and select your operating city (e.g., Taguig, Makati) to see specific LGU requirements.
2. Managing Multiple Profiles
Are you a freelancer with multiple projects? Or managing personal and business expenses separately? Use our Profile Switcher.
- Click the Business Name in the top-left sidebar.
- Select Add New Profile to create a separation (e.g., "Consulting" vs "Travel Biz").
- Switch between them instantly. Transactions are completely isolated per profile.
3. Recording Transactions
Backdating
Forgot to log an expense? You can select any past date in the transaction form. The Sales Journal will correctly order it by the Transaction Date, not when you typed it.
Receipts
Upload photos of your ORs. We store them securely so you can download them later for audits.
Agent Mode
For mixed income, toggle Agent Mode. Log the "Total Collected" but we'll only treat your "Markup" as the taxable amount.
4. Data Privacy
Your data belongs to you. We use Row Level Security (RLS) to ensure only you can access your records.
If you ever need to leave, visit the Danger Zone in Settings to use the Data Purge feature. This permanently deletes all your transactions and profiles from our servers.
